Position Summary                                                      

This role within the U.S. Executive Programs team helps to ensure that the US Councils business is well equipped to serve internal business needs and deliver consistently high-quality service to Members.

At the direction of the Associate Director, Systems & Operations, the Associate supports our peer networking Councils business by maintaining various administrative systems.  These systems include but are not limited to CRM and other customer tracking, expense forecasting and management, intranet and Community platform maintenance, digital meeting support, and meeting logistics support.

Reporting Relationship

Reports to the Associate Director, US Councils Systems & Operations

Principal Direct Activities

Key responsibilities include but are not limited to support for the following items:  

  • Collects information from other Council team members and compiles/manages it for input to a central system or for use by another group (e.g., Finance)
  • Serves as a conduit between the Councils team and other departments to support centralized processes (e.g., AR, forecasting, meeting logistics, venue and transportation management, etc.)
  • Coordinates and maintains various tracking systems (e.g., CRM, Member survey, online Communities)
  • Works with the Digital Media team to ensure a high-quality experience for remote meeting attendees
  • Collects and reports data around adoption
  • Assists Associate Director Systems & Operations with special projects throughout the year
  • Provides back-up support to other teams within our Executive Programs group as needed

We have two Councils Associate position openings; and though the role will require flexibility in performing various tasks, some duties will be divided as follows:

  • One position will have more responsibilities focused on meeting logistics such as sourcing restaurants, negotiating pricing, choosing menus, booking cultural excursions and booking transportation using information provided by the Managers, Executive Programs
  • One position will have more responsibilities focused on virtual audience support like tackling tech issues, managing the chat, signaling breaks and being the go-to for Members who are attending hybrid Council meetings virtually

We will concentrate the interview process on one position based on candidates' experience and interests.

Desired Qualifications and Requirements

  • A minimum of 1 year of experience supporting an office or business preferred
  • Proficiency with the MS Office suite of products (Outlook, Teams, Word, Excel, PowerPoint)
  • CRM experience preferred
  • Demonstrated project administration skills
  • Service orientation
  • Highly organized and detail-oriented
  • Strong written and verbal communication skills
  • Strong time management skills, able to prioritize and balance competing demands
  • Keen eye toward operational efficiency
  • Passion for process improvement
  • University degree
