Position Summary: 

As a Meetings Associate, you'll support in-person and virtual events to ensure flawless execution and a great experience for attendees, sponsors, speakers and our team.

Responsibilities

  • Work with the Meeting Planners and Speaker Coordinators to provide general administrative support for meeting execution.
    • Upload speaker bios and headshots to website or portal
    • Produce materials needed for meetings:  name badges, roundtable discussion group tents, etc.
    • Assemble and distribute materials for attendees (e.g., event information, bags, etc.)
    • Draft digital event evaluations for both in-person and virtual conferences and share with conference marketing, programming, logistics, and production teams
  • During in-person events, set up and manage the registration desk, greet attendees, speakers, and guests, respond to attendee and temporary staff questions, ensure the space is neat and presentable.  Take other direction from meeting planner
  • Assist with restaurant and activity research for events
  • Provide meeting related information for the Conference App as requested by the Digital Operations staff
  • Support virtual Conferences by providing back-up to Producer and Associate Producer during the event
  • Provide post-event support that includes but is not limited to reconciling on-site registration information with Sponsorship, Customer Service and Marketing/CEU Department, pulling evaluation data and preparing reports
  • Perform duties as assigned by others in Executive Programs including the Chief Executive Programs Officer, Senior Director, Councils, Senior Director, Sourcing, Contracting & Reporting, and Director, Operations

  • Advanced multi-tasking abilities.  Ability to work on multiple projects in varying stages of development and with minimal supervision
  • Superior prioritizing and time management skills, and the ability to meet deadlines consistently
  • Excellent written and verbal interpersonal skills
  • Ability to work calmly and effectively in stressful situations
  • 1-2 years office work experience
  • Knowledge of event technology a plus
  • Bachelor's or Associate's degree a plus
