I. POSITION SUMMARY
The Council & Center Associate is responsible for providing logistic and administrative support to the Executive Programmes Services Team (EPST) and the European Centers to ensure efficient and effective event organization and customer service operations and support them in the achievement of their goals.
 
II. REPORTING RELATIONSHIPS
Reports to the Executive Director 
 
Responsible for providing logistic & administrative support in an efficient and effective manner to help ensure that EPST operations are delivered with high quality and in a timely manner. Supports managers and employees through a variety of tasks related to organization and communication, via phone and email.
 
III. PRINCIPAL DIRECT ACTIVITIES
1. Provide organizational support to ensure that around 100 Councils are planned and delivered in an effective manner.
  •  Liaise with external agencies and book ground transportation, hotel and restaurant. 
  • For Brussels based meetings, serves as on-site contact person, dealing with customer requests, transportation bookings and on-site logistics.
  • Assist in the creation of documentation detailing event travel and contact information 
  • Prepare packages for meetings such as printed literature, meeting handouts, PPT slides, badges and name cards. 
  • Produce and distribute the regional monthly calendar of events to key stakeholders
2. Assisting the Centers
  • Plans and executes all round tables and briefings which includes the programming, logistics and attendee administration and feeding into the prospect pipeline process.
  • Liaise with the Regional Directors, Center teams, TCB internal researchers, experts and facilitators to ensure delivery of high quality events.  Ensures that additional experts are identified as needed. 
  • Promotes events to existing members and non-members whilst keeping relevant colleagues informed.
  • Updates records of associate member companies in STARS and coordinates mailings to associate companies.
3. Provide administrative support activities for EPS team managers to facilitate the efficient operation of the team’s other activities.
  • Schedule and coordinate key internal meetings, appointments and travel arrangements for managers or supervisors
  • Order supplies and organize shipping of items related to meeting management
  • Perform other related duties as required
4. Other duties as assigned.
 
IV. DESIRED QUALIFICATIONS AND REQUIREMENTS
 
1. College degree or equivalent desirable;
2. Ability to maintain a high level of accuracy and confidentiality concerning financial or member data;
3. Excellent in written and verbal communication skills, in English, other EU languages is a plus;
4. Excellent team building and interpersonal skills;
5. Knowledge of office management systems and procedures;
6. Excellent stress and time management skills and ability to multi-task and prioritize work;
7. Attention to detail and problem solving skills;
8. Strong organizational and planning skills;
9. Proficiency in MS Office;
10. Affinity towards our company mission and interest on our knowledge areas.
